How to check your Mailbox Storage

  1. Login to your email
  2. Select options (top corner with gear icon)
  3. Click on General -> My Account
  4. You can check your mailbox usage at bottom-right of the page

Configure your browser to use light version of Outlook Web App

  1. Log into Outlook Web App (OWA).
  2. Click Settings OWA settings icon gear icon located at top right of your browser and select Options from the drop-down menu.

  3. Expand GENERAL section within left hand navigational panel.
  4. Go to General > Light version.
  5. Place a check-mark within "Use the light version of Outlook Web App" check box.
  6. Choose Save.

  7. Sign out of the standard version, clear the browser cache/cookies, close your browser, and sign in again using a supported browser. You may need to close all open browser windows before you can sign in again.

Configuring Windows Live Mail for Office 365

  1. Open Windows Live Mail.
  2. Select Options | Email Accounts.
  3. Click Add.
  4. Select Email Account on the "Select Account Type" screen.
  5. In the "Email address:" field, type username@usm.my
  6. In the "Password" field type your email password.
  7. In the "Display name for your sent messages" field, type your name.
  8. Click the checkbox next to “Manually Configure Settings”.
  9. Click Next.
  10. In the "Server type:" field, select IMAP.
  11. In the "Server address:" field, type outlook.office365.com
  12. Change the "Port" to 993
  13. Select “Requires a secure connection (SSL)”.
  14. In the "Authenticate using:" field, select Clear text.
  15. In the "Logon user name:" field, type username@usm.my
  16. In the Outgoing Server information, in the "Server address:" field, type smtp.office365.com
  17. Change the "Port" to 587
  18. Select “Requires a secure connection (SSL)”.
  19. Select “Requires authentication”.
  20. Click Next to create the account.
  21. Click Finish.

    1. Go to Start > Control Panel > Mail > Email Accounts.
    2. You will view the default email account. The server setting still pointing to the Outlook 2013 server.
    3. Click Repair 
      1. Please type your full email address at both textbox as belowaccoutlook
      2. Note: Your ISP provides this information. 
        ◦In the Password box, type the password that your ISP provided. ◦In the Retype Password box, retype the password, and then click Next to begin the Auto Account Setup process.
      3. Outlook will then try to automatically configure your account. Some ISPs require the full email address to be entered into the User Name field. If you want Outlook to automatically enter your email password, make sure that the "Save this password in your password list check box is selected.
    4. It will take several minutes for the server settings to be completed.

    1. If your account is successfully configured, the Add New Email Account dialog box indicates that the account is created successfully. 
    2. Click Finish, and then click Close to complete the account setup. [ Note: If the automatic configuration fails, the Auto Account Setup feature tries to connect by using a connection that is not encrypted. If this method also fails, then the account must be configured manually. ]
    3. Finally, click Finish to complete the settings.

Can I access safely to my mailbox if I am about to move to the cloud?

Email USM can be accessed as usual via the link https://owa.usm.my.

The different look and feel in Office 365 environment will be the email header that displays the words Office 365.

Then, Office Online, OneNote Online services can be accessed on the menu shown as bellow:

What will happen to my existing mailbox if I had opted for the Office 365 services?

Are all of the emails in my mailboxes will be moved to the cloud or only some of the emails will be migrated?
Whatever emails no matter old or new email received by the user until the time the migration process performed will be migrated without any issues as if the mailbox trigger error during the migration process

There is no issues that there are emails that are not migrated unless the user delete the email before being moved to the cloud.

What are the advantages and disadvantages of Office 365 on cloud email service?

The advantages of Office 365 Services are as follows:

  1. Additional 50 GB of email storage space
  2. Additional Features as follows:
    1. Lync Online – The use of Lync application that allows users to communicate with each other through chatting, phone calls from PC to PC, screen sharing and video calls, and be able to interact with the Skype service.
    2. OneDrive for Business - Provides 1 TB of storage space for each user .It can be accessed anywhere.
    3. Sharepoint Site - Offers file sharing features via workspace.
    4. Office Web Apps – Online Office Application such as Word, Excel, PowerPoint, and OneNote .

Disadvanges of 'cloud':

  1. Email server is located outside of Malaysia similiarly as Yahoo, Gmail and others.
  2. The user is responsible for any loss or leak of information via email.
  3. The user need to supervise their own email mailboxes as well as Skydriver storage.

Logging into your email account via Office 365

Use Internet Explorer browser, version 10 and above for full functionality. To start:

  • Launch the Internet Explorer/Google Chrome/Mozilla Firefox/Safari web browser:
  • In the address bar, type: https://owa.usm.my/owa  , then press <Enter>

The Identity Single Sign-On window appears.

Why I am unable to login to Office 365 by just typing in my id and password in the textbox from the https://owa.usm.my/owa link?

Firstly, you must check if your email address is typed with the domain @usm.my or without. If, without the domain, please type the domain @usm.my after your email id.

For example: mazlanyassim@usm.my at email address textbox.

Check also your DNS :10.202.1.129 and 10.202.1.206.

"Something went wrong" error

If you receive the "something went wrong" error as below in any IE/Firefox/Google Chrome browser, try to clear cache, close the IE/Firefox/Google Chrome browser, reopen and try to log-in again.

Select Tools and find Internet options menu.

Find Browsing History and click Delete. If you are using IE 11,Deselect Preserve Favorites website data, and select all the others from the list and click Delete again.

Then, click Apply and close the browser.

  1. In the browser bar, enter:

  1. Select the items you want to clear (e.g., Clear browsing history, Clear download history, Empty the cache, Delete cookies and other site and plug-in data).

From the Obliterate the following items from: drop-down menu, you can choose the period of time for which you want to clear cached information. To clear your entire cache, select the beginning of time.

Firefox

  1. From the Tools or History menu, select Clear Recent History.

If the menu bar is hidden, press Alt to make it visible.

  1. From the Time range to clear: drop-down menu, select the desired range; to clear your entire cache , select Everything.
  2. Click the down arrow next to "Details" to choose which elements of the history to clear. Click Clear Now.

Reopen again the browser with the https://owa.usm.my/owa link. Then, key-in your email address and password.
